Work Study Quick Reference

Information necessary for library work study students, including information on ongoing tasks, new programs, and reminders for ongoing processes.

Schedules and Reporting to Work

Student work schedules will be arranged by the student supervisor. Students will be expected to report to work when scheduled unless prior arrangements have been made with the supervisor. 

Punctuality is a basic requirement. If you cannot avoid being late, you must call in to inform your supervisor that you are late and what time you expect to arrive. Being late should be the exception, not the rule. 

Students may not work in excess of 15 hours per week. Work study students generally work 6-10 hours per week, but the total amount earned will be determined by the amount of money allocated by the Federal Work Study Program. 

Adverse Weather Policy

In order to provide an equitable method of handling absences when employees are unable to get to work because of hazardous driving conditions, the following policy is to be followed:

As conditions vary across our region, all employees of the university are encouraged to use their own judgment regarding the safety of getting to and from work in adverse weather conditions. DO NOT PUT YOURSELF IN DANGER.

Employees who are unable to get to work because of hazardous weather conditions should notify their supervisor by calling in or by following the established guideline of their department. In the even hazardous weather develops during the day, please communicate with your supervisor before leaving so all employees can be accounted for. 

  • If you drive to work and the roads are unsafe, do not come to work. Call in and let a supervisor know you are unable to make it to your shift due to hazardous conditions.
  • If the University is closed the Commons will be closed.
  • If classes are canceled but the University is open you are expected to show up and work your regular shift.

Being Late/Missing a Shift

If you have an emergency that will cause you to be late or miss your shift, before your shift is scheduled to begin:

1. Call the KLC Front Desk at 913-758-6306. (Program this number into your phone!)

Your call, email, or text must be acknowledged in order to prevent being labeled as a "no call, no show."

If you know you will be late or absent for a shift in advance, you are responsible to find a replacement to cover your shift and notify Ashley Creek of the absence and who will be working.

An unexcused absence, i.e. "No call, no show," may be grounds for disciplinary action up to and including dismissal.

Payroll/Timekeeping

Your supervisor sets the schedule; however, it is your responsibility to keep a record of your time worked on a Federal Work Study Time Sheet. At the end of each time period, you will be asked to finalize your hours on an electronic timesheet in eSpire for your supervisor to review for accuracy before submitting all time sheets to the Business Office for payment. Failure to log your hours on your time sheet may result in non-payment for those hours.

Training

The Keleher Learning Commons will offer periodic training sessions for all KLC Student Employees. Students' attendance at these trainings is required.
